Registration Status
The registration status reflects the current state of a registrant in Eventact.
It provides information about the progress of the registration process,
such as whether the registrant has completed payment or is awaiting approval.
Unfiltered Lists and Registration Status
An unfiltered list of registrants may include registrants who are not yet approved participants due to issues like payment issues or incomplete registration. These records can still be managed by the event manager, who can decide how to handle them. For example,
the event manager can attempt to rescue abandoned registrations by sending targeted emails.
Blocked Resources
When managing blocked resources (e.g., ticket blocks, accommodation blocks), it's important to understand how different registration statuses affect participant counts.
Registration Status Flags
A registration status is a combination of flags, each indicating a specific condition or state. These flags can be activated or deactivated by the operator or triggered automatically by the system based on registrant actions.
Status definitions:
- Submitted: Indicates the registration form has been successfully submitted by a registrant
- Approved: Signals that the registration has been reviewed and approved by the event organizer.
- Pending: Indicates the registration is waiting for something. Generally, it is awaiting payment, typically when the registrant has selected an offline payment method. This status is set by the system automatedly when the registrant selects an offline payment method like a wire transfer but event organizers can also choose to set this flag.
- Changed: Indicates the registration data has been modified by the registrant. Set automatically when the registrant edits their registration. The event organizer can manually turn this off after reviewing the change.
- Free: Indicates the registration carries no cost. Set automatically for registrations with zero payable amounts.
- Paid: Indicates that payment for the registration has been completed.
- Payment Deferred: Indicates that the event organizer has aggreged to receive the payment after the event. Set manually by the operator, this allows the registrant to check in even with payment pending.
- Potential: Signals a potential attendee who has not confirmed their registration.
- Confirmed: Indicates the registrant has confirmed their attendance or something else. This status is triggered when the registrant clicks on a confirmation link sent by the organizer.
- Declined: Indicates the registrant has declined attendance or some other offer by clicking the decline link sent by the organizer.
- Arrived: Indicates the registrant has checked in to the event. This status is set automatically upon check-in.
- In Progress: Represents a registrant actively filling out the registration form.
- Processing: Indicates the registrant has been redirected to an external payment gateway but hasn't returned to complete the registration. A prolonged "Processing" status often signals a registrant chose not to complete the payment. In irregular cases, it could be a result of a technical issue that prevented the registrant from returning to the registration form after payment.
- Incomplete: Indicates that the registration process was abandoned before submission.
- Rejected: Signals that the registration has been rejected by the operator.
- Hold: Temporarily flags the registration until an issue is resolved. Unlike the Potential status, blocked tickets and rooms for this registrant are reserved.
- Canceled: Indicates that the registration has been canceled.
- Accepted: Indicates the registration or person is accepted or approved by the event organizers.
- Exhibitor: Indicates the registration is for an exhibitor.
Effect of Registration Status on Accommodation and Ticket Blocks
The following statuses are counted when determining the blocked item reservation:
- Submitted
- Approved
- Accepted
- Paid Pending
- Free
- Arrived
- Exhibitor
- Payment Deferred
- Potential
Counting Number of Registrants and Registration Status
Invalid Registrations are registrations with at least one of the following statuses:

Incomplete

Rejected

Canceled
These registrations are not counted and will not occupy a slot in defined blocks.
Check-In and Registration Status
The statuses allowed to enter using the self-check-in kiosk and by the operated registration desk are defined in the back office.
The default is that registrations with the following flags are allowed to enter the event:
- Paid
- Free
- Approved
- Payment Deferred
